What is the process for referring a new client to Outbooks?

There are two ways to refer a prospect. You can submit their details through the referral form on our website, or you can introduce us directly by email and we will take it from there. We record all the leads in our central database with your name as Referrer.

How does the process work for clients Outbooks is already supporting on our behalf?

For clients you refer to us directly, we sign an Engagement Letter with them, complete the required AML/KYC checks, and assign a dedicated Account Manager before any work begins. From that point, all work is managed through Outbooks and we invoice the client directly.

For clients we are already working on through you, we invoice you under our agreed arrangement, do not contact the client independently, and leave the relationship entirely in your hands.

Depending on the scope, we may subsequently request access to their accounting software, bookkeeping records, payroll information, bank statements, or other supporting documents needed to ensure a smooth onboarding and transition.

Who leads the onboarding call?

Once a referral is confirmed and onboarded, we are happy to lead the onboarding call. If you would like to be present on the call, we can accommodate that.

How are your bookkeeping fees structured?

Our fees are tailored to each client based on scope of work, transaction volume, complexity and service frequency. Following an initial discovery call, we assess the client's needs and provide either a fixed monthly fee or an hourly rate, depending on what suits the engagement. As a guide, standard monthly bookkeeping is charged at 50p per transaction, We also use dedicated proposal software to present pricing clearly. Please note that software platform costs are always charged separately where we are responsible for managing the licence.

How frequently are commissions calculated and paid?

Fees are collected monthly and commissions are paid quarterly. We share a clear report of fees collected by client and by month each quarter. Commissions are calculated strictly on fees collected, not on invoiced amounts, so any payment delays on the client side will affect the timing of commission calculations.

Is there a minimum contract term?

Our standard contracts require three months' notice. There is no fixed minimum term beyond that.

How do you manage capacity if referral volumes increase?

We have a scalable delivery model with a dedicated recruitment and resource management team. We consistently maintain 10–15% bench capacity of trained staff, which allows us to absorb increases in referral volumes without affecting service quality or turnaround times.

Are there any sectors or client types you do not work with?

We work across all sectors and have not turned away clients on the basis of industry as a general rule. On occasion, specific business activities may fall outside what we are able to support. If you are unsure whether a prospect is a good fit, get in touch and we will confirm quickly.

Do you communicate with referred clients directly?

Where we have signed an Engagement Letter directly with the client, yes - they are our client and we manage all communication with them. Where the relationship runs through a referring party, we do not contact the client independently.

What communication channels do you offer?

We offer scheduled video calls, ad-hoc email support, and a dedicated Account Manager for each client.
